Setup your Construction Project Team
Associate existing company contacts with your construction project and customize their roles for project-specific needs. This guide covers setting up your project team by pulling in contacts from your company database and optionally overriding their roles at the project level for Voice AI Construction Project Management.
Prerequisites
Before you begin, ensure you have:
- Completed Quick Start: Set up your workspace and created your first project
- Company Contacts: Added contacts to your company database (see Adding Contacts)
- Project Access: You should be on your project dashboard
Understanding Project Team Setup
Project Team vs Company Contacts:
- Company Contacts: Vendors, subcontractors, and team members stored in your company database
- Project Team: Company contacts specifically associated with a particular construction project (can have project-specific roles)
- Role Override: Option to modify a contact's role for a specific project while keeping their company-wide role unchanged
💡 Important Distinction:
- Workspace Members can call Alex from the admin app or site app interface
- Project Team Contacts can call Alex directly if you provision a phone number for Alex - and Alex will automatically recognize them and have full context about their project-specific role and involvement

Step 1: Navigate to Your Project
1.1 Access Project Dashboard
From your home dashboard, locate your project card and click the "Details" button:

💡 Tip: The Details button is located on each project card and will take you to the project-specific management screen for Voice AI Construction Project Management.
Step 2: Access Project Details
2.1 Project Details Screen
Clicking "Details" will take you to the project details screen where you can manage all aspects of your construction project:

2.2 Locate Team Management
On the project details screen, you'll find:
- Project Information: Basic project details and settings
- Team Management: Section to add and manage project contacts
- Project Usage: Call minutes & AI tokens usage & limits for your construction project
Step 3: Add Project Contact
3.1 Access Add Project Contact
In the Project Contacts section on project details screen, locate and click "Add Contact":

3.2 Select Contact and Customize Role
The Add Project Contact dialog is simple and straightforward:
- Select Company Contact: Choose from your existing company contacts
- Optional Role Override: Keep their company role or assign a project-specific role
- Add to Project: Click to associate the contact with your construction project
💡 Tip: Role overrides are useful when a contact has different responsibilities on specific projects (e.g., a general contractor who acts as a subcontractor on a particular project).
Available Contact Roles:
- Project Leadership: Project Owner, Project Manager, Site Supervisor
- Engineering: Planning Engineer, Project Engineer, Quality Engineer
- Site Management: Foreman (Civil), Foreman (Electrical), Foreman (Plumbing)
- Specialized Roles: Materials Manager, Safety Officer, Subcontractor Lead
- Suppliers: Cement Supplier, Steel Supplier, Bricks Supplier, Aggregates Supplier
- Vendors: Equipment Vendor, Transport Vendor, Labor Vendor
- Financial: Financier
- Other: Other (for custom roles not covered above)
Step 4: Confirm and Add
4.1 Review Project Contact Details
Before adding the contact to your construction project:
- Verify Contact: Ensure you've selected the correct person
- Review Role: Confirm the project role (company role or override)
4.2 Add to Project Team
Click "Add Contact" to associate the contact with your construction project.
Step 5: Verify Project Team
5.1 View Updated Project Team
After successfully adding a project contact, you'll see the updated project team:

5.2 Review Project Team Members
Your construction project team will now display:
- Contact Names: All team members associated with this project
- Project Roles: Their specific roles for this project (may differ from company roles)
Managing Your Project Team
6.1 Edit Project Contact Details
To override a contact's project-specific role:
- Find the contact in your project team list
- Click the override/ edit icon next to the project role
- Modify the project role
- Save your changes
💡 Note: Changes to project role won't affect the contact's company-wide information.
6.2 Remove from Project Team
To remove a contact from your construction project (but keep them in your company database):
- Locate the contact in your project team list
- Click the remove button
- Confirm
⚠️ Note: Removing a contact from your project team only affects this specific construction project. The contact remains in your company database and can be added to other projects.

6.3 Role Organization
- Project-Specific Roles: Use role overrides when contacts have different responsibilities on specific construction projects
- Clear Responsibilities: Ensure each team member's role is clearly defined for the project

- Regular Updates: Keep project team information current as roles or responsibilities change
- Communication: Ensure all team members understand their project-specific roles
- Documentation: Use project notes to document special responsibilities or requirements

Once added to your construction project team, Alex can:
- Call for Updates: Reach out to get project-specific progress updates

Alex's contact recognition capabilities include:
- Inbound Call Recognition: When contacts call Alex (if you provision a phone number for Alex), it automatically identifies them based on their phone number from your company database
- Full Context Awareness: Alex knows the caller's role, company, and all project associations
- Personalized Interactions: Provides context-aware responses based on the caller's identity and project involvement

- From Apps: Workspace Members can call Alex from the admin app or site app interface
- Direct Phone Calls: Project Team Contacts can call Alex directly on a provisioned phone number - Alex will automatically recognize them and have full context
- Outbound Calls: Alex can proactively call project team contacts for updates and follow-ups
