Choosing construction management software in India: what to look for

8 min read

Most construction software was designed for sites where a supervisor opens an app and fills in a form. Indian sites mostly don't work that way. Updates arrive as WhatsApp messages, photos and voice notes, often in Hindi or a regional language. Subcontractors and suppliers will never log in to your system, and you're paid against measured BOQ quantities through RA bills. This guide sets out what to look for in construction management software for Indian conditions, the main types of software, and the questions to ask every vendor.

Start with how your sites actually report

India is WhatsApp's largest market, with more than 500 million users (TechCrunch), and on most Indian sites the real record of the day lives in WhatsApp groups: the supervisor's morning voice note, the photo of the slab, the contractor's "kal tak ho jayega".

So the first question isn't which features a product has. It's where the data will come from. Software that depends on everyone switching to a new app has to win over every supervisor, foreman, subcontractor and supplier on every site. Software that works from the groups they already use doesn't.

What to look for

1. Works with WhatsApp, voice notes and regional languages

Check whether the software can take updates from WhatsApp groups, including voice notes and photos, and whether it understands Hindi, regional languages and the mixed language most sites actually use. A tool that only works in English, or only from its own app, will capture a fraction of what happens.

2. Phone-first, for supervisors on mobile data

India had over a billion broadband subscribers at the end of June 2026, and more than 95% of them were wireless (TRAI). Your supervisors are on phones, often on patchy connections at remote sites. Whatever they're asked to do needs to work there, not just in the head office.

3. DPR, BOQ quantities and RA bills

This is where generic project tools fall short in India:

  • DPRs in your client's format. Many clients and PMCs prescribe their own. Check that the software can produce a daily record with manpower, equipment, materials and work done by item and location. (See our DPR format guide.)
  • Quantities by BOQ item and location, not just "task done", so daily progress adds up against the measurement book. On CPWD works, measurements are recorded in an electronic measurement book (CPWD Works Manual 2022, para 5.12, NDMC copy).
  • Support for the RA bill, with the checklists, photos and measurements behind each line kept together, so bills are certified with fewer queries.

4. Subcontractors and suppliers without logins

Most Indian contractors run a separate WhatsApp group for each subcontractor and supplier (see managing site team commitments on WhatsApp). Ask how the software captures their updates, deliveries and commitments when they'll never use your system.

5. One view for the MD and PMO

Once you run several sites, the owner and PMO need one screen showing every project's progress, blockers and overdue items, without waiting for each site's report or phoning each site engineer.

6. Hindrances and contract deadlines recorded on time

Delays cost money twice: once on site, and again if the paperwork for an extension of time isn't in order. On CPWD works, a hindrance is to be written "at once" in the site order book and reported to the Engineer-in-Charge (CPWD Works Manual 2022, para 5.15). Software that records hindrances the day they're reported, with the source message and photo, makes that much easier.

7. Your data: export, storage and protection

India's Digital Personal Data Protection Rules were notified on 14 November 2025, with an eighteen-month period for phased compliance (PIB). Construction software holds personal data, such as worker names, phone numbers and attendance. Ask every vendor:

  • Can we export all our data, in which formats, at any time?
  • Where is our data stored, and is it encrypted?
  • How will you support our obligations under the DPDP Act?

8. Setup and pricing that fit

  • Who does the setup? Work fronts, BOQ, groups and users take time to configure. Find out whether the vendor does it or your team does.
  • How is it priced? Per user, per project or by construction volume. Per-user pricing grows with every supervisor and subcontractor you add. (Our guide to choosing software as a small or mid-size contractor covers pricing models in more detail.)

The main types of software

Most options fall into four groups. Many contractors use more than one.

TypeGood atWatch out for
Full construction management suitesPlanning, documents, RFIs, cost control and approvals in one systemNeeds the site team to work inside the app; longer, costlier rollout
ERP and billing or accounting toolsAccounts, purchase, stores, billing and statutory complianceLittle visibility of what's happening on site day to day
Site appsStructured forms, checklists and photos for site staffOnly captures what someone enters; subcontractors rarely use them
WhatsApp-native intelligenceTurns the updates already in WhatsApp groups into structured records, with nothing new for the site to learnWorks alongside your system of record rather than being one

Where Velora fits

Velora is Project Intelligence for Contractors, running on WhatsApp. It reads the WhatsApp groups your site teams, subcontractors and suppliers already use, including voice notes and photos in Hindi, Telugu and other languages, and turns them into structured records of progress, manpower, deliveries, commitments and hindrances, each linked back to the source message. It follows up in the groups when commitments are overdue, gives the MD and PMO one view across every project, and drafts daily and weekly reports. Billing and Contract Intelligence, in early access, match work done to your BOQ with its supporting documents and flag contract implications for your team to raise.

The Velora team sets up your account, including work fronts, groups and your project scope. We work closely with your team through onboarding and after it, reviewing what's working and taking your feedback into the product. You get personalised support and direct access to our founder. Pricing is per project, covering all three products, with no per-user charges, so you can add every supervisor and site engineer without the cost going up. Your data is encrypted at rest and in transit, and if you have data-residency requirements, talk to us. Velora works alongside your ERP, accounting software or Excel trackers: its logs and reports export to Excel, CSV, Word and PDF, and if you want records flowing into another system directly, talk to us about connecting the two.

Frequently asked questions

What is the best construction management software in India?
There is no single best option; it depends on how your sites work. Check whether the software works from WhatsApp and voice notes in Hindi and regional languages, handles DPRs, BOQ quantities and RA bill support, captures updates from subcontractors who never log in, gives the MD a view across projects, and lets you export your data.
Does construction software in India need to work with WhatsApp?
For most contractors, yes. India is WhatsApp's largest market, and on most Indian sites progress, photos, deliveries and commitments are reported in WhatsApp groups. Software that needs everyone to switch to a new app has to win over every supervisor, subcontractor and supplier; software that reads the existing groups does not.
Can construction software understand Hindi voice notes from site?
Some can. Velora reads voice notes as well as text and photos, in Hindi, Telugu and other languages, and turns them into structured records in English, each linked back to the original message.
Can software prepare RA bills?
Billing and accounting tools can prepare the bill itself. Velora does not generate RA bills; it helps substantiate them by matching work done on site to your BOQ and keeping the checklists and photos for each line together, so bills are certified with fewer queries.
What should I ask about data protection?
Ask where your data is stored, whether it is encrypted, whether you can export all of it at any time, and how the vendor will support your obligations under the Digital Personal Data Protection Act. The DPDP Rules were notified on 14 November 2025 with an eighteen-month phased compliance period.
